Sending Resumes via Email
Email has generally been used as an informal means of communication. However, as it becomes increasingly popular in the job application process, students need to adapt their email according to the intended audience. Email etiquette in reference to a professional email has strict guidelines and it is important to abide by them.
Guidelines:
- Always introduce yourself the same way you would in a cover letter.
For example:
Dear Mr./Ms. So and So,
I am writing in regard to your posting on XYZ for the Software Engineering position in your organization. etc. - Treat your email as if you were writing a professional cover or thank-you letter on paper, but be brief.
- The subject line should be very specific: "Application for XYZ position"
- If you are responding to an email, include the original message in the reply, so the receiver can put your email into the correct context. Always respond within two business days.
- Always spell words correctly. Spell check in not enough, make sure that the semantics of your words are also correct.
- Never use all capital letters. In an email that is the equivalent of screaming, and it can be difficult to read.
- Read your message before you click send. The meaning and tone of your email can often be misinterpreted. If possible, have someone else read the message. A second set of eyes always works wonders.
- Scan you email for a virus before you attach it to your email.
